A shared inbox (support@yourcompany.com, forwarded to two or three people, or a Gmail alias everyone can log into) is how almost every small shop starts handling client support. It costs nothing extra if you're already on Google Workspace, and for a while it works fine. There's no product comparison to make here, because a shared inbox isn't a product. It's email, doing a job it wasn't built for.
That's not a knock on anyone using this setup. It's the obvious first move, and for one person handling a handful of clients, it can genuinely hold up. The costs show up later, and they're mostly invisible until something slips.
Two people reply to the same thread within a minute of each other, and the client gets two different answers. A request comes in on a Friday, gets marked read by whoever opened it first, and nobody follows up until the client emails again the following Thursday asking what happened. Nobody can say with any confidence how many hours went into a given client last month, because that time lived in someone's head, or a note in a different app, or nowhere. None of this is a Gmail problem. It's what happens when a tool built for personal correspondence gets used as a support queue.
There's also a cost that's easy to overlook: audit trail. If a client disputes what was said or when, "check the thread" isn't the same as a status history with timestamps.
Every request becomes a ticket with a status (new, open, pending, resolved), so "did we handle this?" has an actual answer instead of a guess based on who remembers what. Clients still reply from their own email; those replies land back on the ticket automatically, so nothing changes about how they interact with you. Assignment means two people can't quietly duplicate each other's work. And every minute logged against a ticket rolls into a report you can hand a client at the end of the month, instead of reconstructing it from memory.
| Cost | Shared Gmail inbox | Ravine Desk |
|---|---|---|
| Direct cost | $0 extra if already on Workspace; a Workspace seat otherwise (~$6-12/user/month) | Flat monthly price per workspace, from $15/mo (founding $12/mo) |
| Duplicate replies | Common once more than one person answers | Assignment prevents it |
| Lost follow-ups | Depends entirely on someone remembering to check back | Status tracking surfaces anything stuck as "pending" |
| Billable hours | Reconstructed after the fact, if at all | Logged where the work happens, rolls into reports |
| Client-facing polish | A plain email thread | A branded portal with a real ticket history |
You're truly solo, your client volume is low enough that nothing has slipped through yet, and you don't bill by the hour. There's no reason to add a tool before you need one.
More than one person answers client email, you bill hourly and want that time captured without extra bookkeeping, or a client has ever asked "did you get my message?" about something that was sitting answered in someone's inbox the whole time.
